A useful palm oil equipment request for quotation defines what enters the plant, what must leave it, and which equipment and services belong in the supplier’s scope. A target tonnage and a list of machines are only the starting point. Buyers also need a common operating basis, site information, interface responsibilities, and a way to compare exceptions before choosing a proposal.
The purpose of this checklist is to help a project team assemble that information without pretending that every early design decision is already settled. Mark unknown values as provisional and assign someone to confirm them. A supplier can work with a clearly identified uncertainty much more effectively than with a precise number that has no supporting measurement.
Start with the Feedstock and Product Boundary
State whether the project receives fresh fruit bunches, separated palm fruit, palm nuts, kernels, or crude palm oil. These inputs belong to different processing duties. Put Every Capacity Claim on the Same Basis
Write the required throughput together with the material and time basis: tonnes of fresh fruit bunches per operating hour, for example. A capacity stated as tonnes per day needs an explicit number of operating hours. A sterilizer batch load needs a complete cycle definition before it can be compared with a continuous conveyor or press.
Separate normal operation from the highest expected arrival period. The average supply across a year can conceal a short seasonal peak. Conversely, sizing every station for a theoretical maximum can leave expensive equipment underused for much of the season. Ask bidders to explain their proposed operating range and the constraints at both ends.
A simple illustrative requirement might be 80 tonnes of FFB received during a working day with 10 planned processing hours. That represents 8 tonnes per planned hour before any allowance for downtime. If the planning assumption is that only 80 percent of those hours are productive, the corresponding running throughput becomes 80 divided by 8, or 10 tonnes per hour.

Ask for a Complete Scope Schedule
Organize the RFQ by process station and identify what already exists. The receiving system, sterilization arrangement, threshing equipment, digestion and pressing section, and clarification equipment should form a coherent material path. Then identify the transfer equipment and supporting services that connect them.

Record the Interfaces That Commonly Get Missed
An interface is the place where one party’s equipment or work meets another’s. Typical examples include the outlet of a conveyor feeding a digester, a steam connection entering a sterilizer package, and a control signal exchanged between separate panels. Each interface needs an owner and a measurable description.
For material transfer, ask for inlet and outlet locations, elevations, connection dimensions, expected feed characteristics, and any intermediate buffer requirement. For utilities, request operating requirements at the point of connection. A boiler nameplate alone does not demonstrate that the required steam conditions will reach the consuming equipment.
For electrical interfaces, the site team should provide the available supply characteristics and the supplier should provide the equipment load information and connection requirements. Qualified electrical personnel must resolve the design details. The RFQ should collect responsibilities and documents, rather than prescribe a generic wiring arrangement.
Create a small interface register before ordering. It should name the supplying party, receiving party, required drawing, revision, and approval status. This makes an unresolved conveyor discharge height visible while it is still easy to change on paper.

Send the same revision of this table to every bidder. When a supplier proposes a different arrangement, retain the original requirement and record the deviation alongside it. Replacing the buyer’s requirement with each bidder’s wording makes technical comparison much harder.

Define Performance Evidence Before Discussing Guarantees
Throughput, oil recovery, residual oil, power demand, and finished-oil quality describe different aspects of performance. They cannot be evaluated from one headline percentage. Ask how each proposed result is measured, what material it applies to, and which operating conditions are necessary.
For pressing equipment, clarify whether a recovery figure refers to available oil in the feed, oil obtained per mass of incoming fruit bunches, or another denominator. A residual-oil statement also needs a sample basis and analytical method. Without those definitions, two numbers that look comparable may describe different tests.

Supply a site sketch, access constraints, planned building dimensions, and available lifting or unloading arrangements. Identify environmental exposure that could affect equipment selection, including outdoor installation and expected cleaning practices. The supplier needs enough information to propose suitable construction and protection. Give the RFQ a document number and revision date. Ask each bidder to return the equipment schedule, technical response, exclusions, utility schedule, proposed drawings, document list, and acceptance approach in a consistent order. Before requesting a revised quotation, compile one consolidated question list. This avoids contradictory instructions from purchasing, operations, and the civil contractor. Record the revision that the final commercial proposal is based on, including any assumptions that still need verification.
